What is MLS (Multiple Listing Service)?

MLS stands for Multiple Listing Service — a private, regional database where licensed real estate brokers and agents share information about properties for sale. Each MLS is owned and operated by a local or regional Realtor association, and there are roughly 600 separate MLSs across the United States. When an agent lists a property, they post it to the MLS within 24–72 hours along with photos, price, square footage, school data, taxes, showing instructions, and the cooperating commission offered to the buyer's agent.

The MLS is the single most important tool in residential real estate. It powers cooperation between competing brokerages (one agent lists, another sells, and they split the commission), it feeds nearly every public listing site (Zillow, Redfin, Realtor.com all pull MLS data via IDX feeds), and it is the system of record for sold prices used in comparative market analysis (CMA) and appraisals.

How it works for agents and brokers: an agent must be an active member of the local Realtor association and pay MLS dues (typically $300–$800/year) to access it. Once inside, they can search active inventory, pull pending and sold comps, set up automated buyer alerts, and list their own seller's properties. Brokers are also responsible for keeping listing status current — moving a property from Active to Pending the day a contract is executed, and to Sold within 24–72 hours of closing. Failing to update the MLS on time is one of the most common compliance violations in residential real estate.

Who has access to the MLS: only licensed real estate agents and appraisers who are paying members of the relevant local MLS. The public does not have direct access — consumers see filtered, often-delayed versions of MLS data through Zillow, Redfin, Realtor.com, and individual brokerage websites via IDX (Internet Data Exchange) feeds.

MLS vs. Zillow and Redfin: the MLS is the source. Zillow, Redfin, Realtor.com, and Trulia are syndicated displays that pull from the MLS via IDX. That means the MLS is faster (listings appear hours or days earlier), more accurate (no off-MLS estimates like Zestimates), and more complete (private agent remarks, showing instructions, commission offers, and exact sold prices that public sites omit). It also means that pocket listings or 'coming soon' homes never shown on the MLS won't appear on Zillow either — a major reason serious buyers work with an agent who has full MLS access.

How transaction coordinators use the MLS: a TC interacts with the MLS at four key moments in every file. (1) At contract execution, the TC verifies the listing matches the contract (price, address, parcel, square footage). (2) Within 24 hours of mutual acceptance, the TC moves the listing status from Active to Pending or Active Contingent. (3) Throughout the deal, the TC pulls comps and sold-price history for any contingency-related disputes. (4) Within 24–72 hours of closing, the TC moves the listing to Sold and posts the final closed price. Missing any of these MLS updates can trigger brokerage compliance violations and association fines — which is why a good TC has direct MLS access in every market they coordinate.

Example

On a closed Atlanta listing, the TC moves the MLS status from Active to Pending the same day the contract is executed, posts the sold price within 24 hours of recording, and uploads the final settlement statement to the brokerage compliance system.
